Privacy Policy
- SeaDrillMate is built by SimpliMar Pte. Ltd. (www.seadrillmate.com), a Singapore company. This policy covers both seadrillmate.com and the SeaDrillMate app.
- We collect pilot-request and billing contact details on the website, and account, training-attempt, and AI-assistant usage data in the app.
- We never sell your data, and we never use it to train third-party AI models — AI quiz generation is sent to OpenAI with store: false.
- Training records are kept as audit evidence for the life of your account. A lapsed subscription freezes access — it never deletes your data.
- Questions or requests: onboarding@seadrillmate.com.
1 Who we are
SeaDrillMate is a product of SimpliMar Pte. Ltd. ("SimpliMar", "we", "us", "our"), a company registered in Singapore with its registered office at 60 Paya Lebar Road #06‑28, Paya Lebar Square, Singapore 409051. You can learn more about SimpliMar at www.seadrillmate.com.
This policy explains how we collect, use, share, and protect personal data through the SeaDrillMate website (seadrillmate.com) and the SeaDrillMate mobile app, and the choices available to you.
2 Who this policy covers
This policy applies to visitors to seadrillmate.com, people who submit a pilot request, billing contacts at customer companies, and Captains, officers, and crew who use the SeaDrillMate app under a company subscription.
If your employer is a SeaDrillMate customer, your company decides which of its crew get accounts and what vessel they're assigned to. SimpliMar processes your data both on your company's behalf (to run the app) and in our own right (for billing, support, and security).
3 Information we collect
On the website:
- Pilot request form — company name, your name, work email, phone (optional), fleet size, vessel types, and anything you tell us about what you'd like to improve.
- Billing contact — if you request a billing portal link, the email address you provide. Stripe collects and stores your card details directly; we never see or store your card number.
- Basic technical data — standard web server logs (IP address, browser type, pages visited) kept for security and performance. See Section 9 on cookies.
In the app (once your company has a trial or active subscription):
- Account — name, rank or role, email, and your vessel and company assignment.
- Training activity — quiz attempts, answers, scores, streaks, badges, and, for Captains, the challenges and questions you create.
- AI quiz assistant (Captains only) — the learning notes you type in are sent to OpenAI to draft questions and a training infographic, called with store: false: OpenAI does not retain this input or use it to train its models. We keep the generated content only as long as needed to show it to you, plus a token-count usage log for cost review — never your source notes.
- Push notifications — a device push token, so we can deliver challenge and reminder notifications.
We do not collect location data. The app does not access your contacts, photo library beyond an image you actively choose to attach, or microphone.
4 How we use it
- Run the training, challenge, and scoring features described in the app.
- Maintain the crew training matrix and leaderboards.
- Review, provision, and support pilot requests and paid subscriptions.
- Send transactional emails (invitations, billing notices) and a small number of pilot-lifecycle emails (a day-14 check-in, an expiry warning) — see Section 9 for how to opt out of the non-essential ones.
- Detect abuse and enforce rate limits, including on AI generation.
- Improve the product. We do not sell personal data, and we do not use your training data or AI-assistant input to train third-party AI models.
5 Who we share it with
We use a small number of processors to run SeaDrillMate. None of them may use your data for their own purposes.
We do not sell, rent, or share personal data with data brokers or advertisers.
6 International transfers
SimpliMar is based in Singapore. Our processors operate infrastructure in multiple countries, including the United States and the European Union. Where personal data is transferred outside Singapore, we rely on our processors' standard contractual and security safeguards.
7 How long we keep it
- Training records (attempts, scores, challenges) — kept for the life of your company's account as audit evidence, and for a reasonable period after cancellation to allow reactivation. A suspended or cancelled subscription makes the account read-only; we do not delete training records unless you ask us to (Section 8) or the law requires it.
- Pilot requests that don't convert — kept for up to 24 months so we can follow up, then deleted or anonymized. You can ask us to delete yours sooner at any time.
- Billing records — kept as required by Singapore tax and accounting law (currently up to 5 years).
8 Your rights
Under Singapore's Personal Data Protection Act (PDPA), and under the GDPR if you're located in the EEA or UK, you can ask us to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Delete your data, subject to our legitimate need to retain training and audit records or comply with law.
- Withdraw consent for non-essential emails — every marketing-adjacent email includes an unsubscribe link.
Contact onboarding@seadrillmate.com to exercise any of these. If you're not satisfied with our response, you can complain to Singapore's Personal Data Protection Commission (PDPC), or your local data protection authority if you're in the EEA or UK.
9 Cookies and similar technology
The SeaDrillMate website does not currently use advertising or tracking cookies. We may use privacy-respecting, cookie-less analytics to understand aggregate traffic; if that changes, we'll update this policy first. Essential session cookies (for example, to keep SimpliMar staff signed in to the internal console) are used only to operate the site.
10 Security
Access to customer data is controlled by row-level security policies scoped to your company and vessel — one crew member cannot see another vessel's or company's data. All traffic is encrypted in transit. Card data is handled entirely by Stripe. AI-generation access is limited to active Captains and rate-limited, to control both cost and misuse.
11 Children's data
SeaDrillMate is a business tool for shipping company personnel. It is not directed at children, and we do not knowingly collect data from anyone under 18.
12 Changes to this policy
We'll post updates here with a new "last updated" date. For material changes affecting active customers, we'll also notify your company's billing or admin contact by email.
